Context

Under the overall supervision of the Head of Preparedness and Climate Change Adaption Division and direct supervision of the Surge Capacity Coordinator , the successful UNV will be responsible for providing administrative facilitation for the execution of Surge Support specifically through the Standby Partnership (SBP) mechanism and the IOM Deployment Roster across the different regions of operations in the areas of emergency and crisis preparedness, mitigation and response in disaster and conflict settings.

Task description

Under the direct supervision of Surge Capacity Coordinator (SCC), the International UN Youth Volunteer will:• Support SCC’s role in providing assistance to crisis-affected missions through assisting with the identification of the appropriate deployment mechanism to scale-up emergency operations.• Assist in gathering and consolidation of information from regional offices and IOM missions in the area of emergency response.• Provide administrative support to Standby Partnership (SBP) focal points on the requirements for SBP deployments requested by IOM offices (Country, Regional and HQ Offices) in close coordination with requesting office’s Human Resources/administrative officers as well as SBP partners’ focal points.• Follow-up with IOM support units/focal points to help improve systematic workflow in onboarding an SBP/internal deployment.• Update/maintain SBP tracker and other databases on Standby Partner surge requests and deployments, which serves as a source to analyse and identify trends and gaps in expertise.• Under supervision and guidance of the SCC, draft portions of performance reports, presentations, SBP Agreements, guidelines, and activity reports on surge and SBPs according to IOM requirements.• Asssist SCC in the improving the Deployment Roster ensuring the requirements for emergency surge deployments are incorporated.• Participate in the administrative planning and preparation for workshops, meetings and information requests for the SBP Network and Deployment Roster.• Consolidation and tracking of the emergency response surge deployments and relevant financial expenses in coordination with global project, relevant technical units within PRD and roster staff.• Any other related tasks as may be required or assigned by the supervisor.Furthermore, UN Volunteers are encouraged to integrate the UN Volunteers programme mandate within their assignment and promote voluntary action through engagement with communities in the course of their work. As such, UN Volunteers should dedicate a part of their working time to some of the following suggested activities:• Strengthen their knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and take active part in UNV activities (for instance in events that mark International Volunteer Day);• Be acquainted with and build on traditional and/or local forms of volunteerism in the host country;• Provide annual and end of assignment self- reports on UN Volunteer actions, results and opportunities.• Contribute articles/write-ups on field experiences and submit them for UNV publications/websites, newsletters, press releases, etc.;• Assist with the UNV Buddy Programme for newly-arrived UN Volunteers;• Promote or advise local groups in the use of online volunteering, or encourage relevant local individuals and organizations to use the UNV Online Volunteering service whenever technically possible.Results/Expected Outputs:o Up to date SBP and surge deployment tracker.o Efficient support to country offices scaling up their emergency response operations requiring surge deployments.• Age, Gender and Diversity (AGD) perspective is systematically applied, integrated and documented in all activities throughout the assignment.• A final statement of achievements towards volunteerism for peace and development during the assignment, such as reporting on the number of volunteers mobilized, activities participated in and capacities developed.
